Technology is advancing quite
rapidly, and every company needs to identify an optimal solution depending on
its needs and budget. As technology improves and people innovate in different
aspects of the technology, so are hackers developing means to hack the
technology. Therefore, management of any size of an organization must have this
in mind and be keen enough to institute measures that offer industry-grade
security, policies, and procedures that ensure staff is also aware and proactive
in ensuring that corporate systems and data are protected and it's unlikely for
criminals to interfere with them at any time (Zhang et al., 2014). In terms of
systems selection, the business processes that will be automated must be
compatible, to the extent possible to the existing structures in the firm and
fit the requirements of the organization. Failure to have the technological responding
to the requirements and specifications of the organization, the technology will
not be used and thus will not accomplish the intended purpose. In the example
provided, we shall recommend the best technical aspects that fit the small
advertising company that we’ll call Karabati.
The software the company
need should not be hard to learn and apply in the execution of day to day processes
of the firm. Most of the employees at Karabati are young people with little
experience in the field despite their qualification and hence they need
something that they will be able to use with much ease. The systems should
support creativity and as opposed to requiring systems mastery. A complicated
technology will not produce the desired results and hence the employees will
not be in a position to optimize it to deliver on creativity and quick
turnaround on concepts which is a standard requirement in the media and
advertising industry (Khan and Zedan, 2012). Additionally,
a start-up firm, it needs to be effective in the operations to gain the client's
confidence and trust that they can perform effectively. Karabati requires a technology that will produce to the estimated capacity and maintain
the quality of the work completed to win the confidence of the clients as well
as the financiers of the firm. For instance, a simple CRM program in the firm
would be effective for managing customer experience and providing better follow-ups which could give the startup firm a good image in the market which again is
very important in the fast-paced and highly competitive advertising industry. The
employees can learn its application with ease and apply it for effective
performance in the firm.
As the employees (especially
the younger age group) prefer to use their phones instead of the desktops
provided, the installed software should be transferable to the phones so that
the employees who opt to use their mobile phones and other mobile gadgets are
able to work at their convenience. Additionally, the employees who need to work
while traveling and may not have access to computers always would require mobile
versions of the corporate software to work on the go (Čamaj, Mašek, and Kendra,
2018). The aspect will ensure that the employees can work at every
time regardless of the location even when traveling which keeps business in
motion and optimizes staff mobility. Additionally, the compatibility of the
software with the mobile devices will facilitate the operations as the
customers can be served at any time of the day regardless of location (Serjeantson,
Gaberdiel and McKinney, 2009). Themes and ideas can also be shared on the go with clients
to reduce project/task completion time allowing quicker go to market turnaround times. As
such, their clients will develop trust in the firm for their efficiency and
enhance the growth and development of the firm.
The accessibility of the
firm’s website and the interaction with the customers should always be secure
and available. From a security perspective, the firm can deploy security
measures to corporate/personal devices that will only allow the gadgets for the
employees to access company resources and block all other users. The practice
will ensure that no other device can access sensitive information or even edit
content unless with permission based on access policy rules (Wolter and Meinel,
2010). As such, even if the employees require accessing the software
using other devices, it will not be possible. The practice will enhance
security and the information of the firm will be secure. Security is one if not
the most vital aspect of technology, as the information assets needs to be
secure to ensure business continuity and avoid related losses.
